OFFICIAL AND UNOFFICIAL RECRUITING VISIT
POLICIES AND PROCEDURES
The University of Wisconsin-Green
Bay (Green Bay) is committed to conducting prospects' campus visits with the highest
degree of integrity. GREEN BAY shall use
best efforts to comprehensively educate all groups involved in the conduct of
recruiting visits and shall investigate all allegations of recruiting-related
misconduct. A set of internal controls
sufficient to monitor compliance and ensure public confidence has been
established and will be periodically reviewed for effectiveness. It shall be the responsibility of the head
coach for each sport to ensure the expectations of this policy are met.
Violations of the policy shall be dealt with by the Athletic Director.
I.
Official
Visits
A. Official
Visit Approval Procedures
1. The designated coaching staff
member must submit the GREEN BAY Official Visit Approval form to the Compliance
Office, along with the following documents, 5 working days prior to the prospect's official visit (exceptions can
be made with the approval of the Assistant Athletic Director for Compliance). This form should be completed electronically.
a.
All high school or college transcripts (Please
note: transcripts may be an unofficial
photocopy of an official high school or college document).
b.
Copy of ACT, PACT, SAT or PSAT score (if applicable).
2.
A copy of the GREEN BAY Compliance Office Official
Visit Letter must be sent to the prospect.
B. Upon
receipt of the transcript and test score, the Compliance Office will conduct an
evaluation. The evaluation will help
determine NCAA eligibility. A copy will
also be given to the appropriate sport.
C. Once the Compliance Office has
approved of the official visit, a copy of the approval will be provided to both
the appropriate sport and the Athletic Business Office. Travel arrangements may be arranged once the
Athletic Business Manager has obtained the approval.
Prospective
student-athletes (PSA) are not allowed to make an official visit to GREEN BAY
until the GREEN BAY Official Visit Approval Form has been completed and
returned to the head coach with all required signatures. It is the
responsibility of each sport to ensure that the head coach has a copy of the
approved official visit form prior to the prospect making a visit to GREEN BAY.
C.
Official Visit Documentation
1.
During the PSA's official visit the following
documentation should be completed by the head coach, prospective
student-athlete and GREEN BAY student host:
a.
Official Visit Form
2.
Official Visit Form must be completed and signed by the
PSA and the Head Coach prior to the PSA's departure from campus at the
conclusion of the visit.
3.
The completed Official Visit Form must be submitted to
the Compliance Office at the conclusion of the visit.
II.
Unofficial
Visits
Coaches must complete an Unofficial Visit Record form for all
prospects that make an unofficial visit to the GREEN BAY campus. The coach is responsible for ensuring the
paperwork is complete prior to the prospect's departure from campus. All Unofficial Visit Record forms must be
submitted electronically to the Compliance Office.
III. Transportation
Air travel must
be coach or equivalent class only. Use
of private aircraft is prohibited. A
prospective student-athlete may be reimbursed at the GREEN BAY rate for mileage
if driving from the prospect's home. While
on the Official Visit, automobile transportation must be provided using the
prospect's vehicle, a staff member's personal or university provided vehicle,
or the student-host's vehicle. Special
or customized automobiles with televisions, gaming systems or other vehicles
with entertainment value shall not be utilized.
Off-campus transportation may be provided only on an official visit.
IV. Meals
Meals must be
provided on a scale comparable to normal student life. Prospective student-athletes shall take meals
as students normally do. Any restaurant
can be considered excessive depending on the value and size of the meal. All restaurants outside of Green Bay need to
have approval through the Compliance Office.
Each meal shall be limited to a single entrée. Meals may be provided only on an official
visit.
V. Entertainment
Entertainment
must be provided on a scale comparable to normal student life and must be
conducted within a 30-mile radius of the GREEN BAY campus. Entertainment may be provided only on an
official visit. Acceptable entertainment includes movies, videos and video
games, bowling, etc. Impermissible entertainment
would include the purchasing or providing of drugs and/or alcohol, adult
entertainment such as strip clubs, and any other activities that are not
permitted under university, local, state and federal law.
VI. Lodging
On an official
visit, lodging may be provided to a prospect in any residence hall on-campus,
or in the apartment of a current student-athlete. Hotel accommodations must be in a standard
room. A non-standard hotel room (such as
suite, jaccuzzi suite, etc.) may not be used.
On an unofficial visit, lodging may be provided in any residence hall
on-campus.
VII. Alcohol/Drugs &
Illicit Activities
GREEN BAY
Athletics fosters an alcohol and drug free environment. Consumption of alcohol and use of drugs shall
be strictly prohibited. The host and the
prospect shall not engage in any illegal activities. GREEN BAY strictly prohibits the use of sex
as a recruiting tool. The use of adult
entertainment is also prohibited.
VIII. Student-Host
The student-host
must sign the student-host form acknowledging both NCAA rules and GREEN BAY
official visit policy prior to receiving the host money. It is important to note that host groups
formed for athletic reasons may not be involved in the recruiting process and
may not have contact with any prospects.
IX. Curfew
The GREEN BAY Compliance
Office does not require a curfew for a prospect on an official visit. However, head coaches are encouraged to set a
reasonable curfew for all PSAs on an official visit.
